Summary of Function:

The Human Resources Administrative Assistant is responsible for supporting the daily operations of the Human Resources Department. This role provides comprehensive administrative support, maintains accurate up-to-date employee records, assists with the recruitment process, and helps ensure efficient and effective HR processes. Additional responsibilities include managing HR filing systems and personnel documentation, as well as preparing reports as needed. The idea candidate is highly organized, demonstrates a strong commitment to confidentiality, and excels in a fast-paced work environment.

Job Duties:

  • Provide comprehensive administrative and transactional support to the Human Resources Department.
  • Maintain accurate, up-to-date, and confidential employee records and personnel files.
  • Support recruitment and selection processes, including posting job openings, coordinating candidate communications, scheduling interviews, and assisting with hiring documentation.
  • Assist with onboarding and offboarding processes, including employee orientation and related documentation.
  • Prepare and draft HR-related documents, including offer letters, employment verifications, policy updates, forms, reports, and general correspondence for management review.
  • Respond to internal and external HR-related inquiries from employees, managers, directors, and executives.
  • Support benefits administration and address employee questions regarding HR policies, procedures, and programs.
  • Track and maintain records related to employee attendance, absence requests, training, and other HR metrics.
  • Assist with training coordination, program development, organizational research, succession planning, and HR compliance initiatives.
  • Distribute HR communications, policies, procedures, and notices across the organization.
  • Perform general administrative duties, including document management, scanning, photocopying, and other tasks as assigned.

Requirements:

  • High School Diploma, GED or equivalent.
  • Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • CHRP designation or actively working towards the Designation.
  • Experience as a Human Resources Assistant preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to handle confidential information with discretion.
