Accountable to:      Capital and Infrastructure Directorate

Summary of Function:

The Project Coordinator is the primary point-person responsible for coordinating projects activity to ensure projects are on time, within budget, and in accordance with specifications. The Project Coordinator is responsible for maintaining projects and programs data base, including submitting preparing/tracking budget and funders report. Reporting to senior management are critical tasks that must be performed throughout each project’s lifecycle.

Job Duties:

  • Assist team with project budget and scheduling.
  • Assist in preparing forecasts and reports for funders.
  • Assist in funding applications.
  • Act as a point of contact and communicate with the Project Team
  • Obtain and manage quotes for upcoming projects.
  • Record meeting minutes for construction and department meetings.
  • Maintain and organize the capital and Infrastructure digital folder.
  • Ensure our financial database is up to date with the projects.
  • Ensure all suppliers’ invoices are approved by the General Manager, Supervisor and submitted to finance for payment.
  • Review and maintain good records of Technical Drawings, Change Orders, and other project documents.
  • Assist the General Manager on any other tasks that might be required.
  • Organize and send out meeting invitations.
  • Adhere to finance policy and procedure.
  • Other related duties

 

Requirements:

  • Certification in Administration or a minimum of 3 years’ experience
  • Proficiency in English language.
  • High School Diploma or equivalent.
  • Proficient in Microsoft Office programs.
  • Experience or training in finance is an asset.
  • Mi’gmaq and French knowledge is an asset.
