Summary of Function:

The Junior Executive Assistant is responsible for providing essential administrative support to the Executive Office team. The Junior Executive Assistant will play a critical role in ensuring the smooth functioning of the Executive Office by efficiently managing administrative tasks, handling communications, and coordinating executive-level activities. The ideal candidate will possess exceptional communication and organizational skills, exhibit a high level of professionalism, and be capable of handling confidential information with utmost discretion.

Job Duties:

  • Coordinate and schedule meetings, appointments, and travel arrangements for the Executive Team, ensuring optimal time management and logistical efficiency.
  • Screen and prioritize phone calls, emails, and other forms of communication directed to the Executive Team. Handle routine matters independently and escalate critical issues when necessary.
  • Draft and edit a variety of documents, including reports, memos, presentations, and correspondence on behalf of the Executive Team, ensuring accuracy and adherence to organization standards.
  • Gather and analyze data to support decision making and provide necessary information to the Executive Team in a concise and actionable format.
  • Organize, prepare agendas, and coordinate logistics for internal and external meetings attended by the Executive Team. Record meeting minutes and follow up on action items.
  • Assist in coordinating and managing special projects and initiatives led by the Executive Team. Collaborate with cross-functional teams to ensure timely completion of projects.
  • Maintain strict confidentiality of sensitive information and handle it with the heist level of discretion and integrity.
  • Assist in preparing expense reports, tracking budgets, and processing invoices related to executive activities.
  • Act as a liaison between the Executive Team and various internal departments, clients, and external partners, fostering positive relationships and effective communication.

Requirements:

  • Bachelor’s degree or equivalent is preferred.
  • Proven experience as an administrative assistant
  • Exceptional organizational skills with the ability to multitask and prioritize competing demands effectively.
  • Excellent communication and interpersonal skills, with a professional demeanor.
  • Proficient in using office productivity software, such as Microsoft Office Suite or Google Workspace.
  • Strong attention to detail and accuracy in document preparation.
  • Ability to work independently and make decisions based on broad instructions and objectives.
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • Previous experience in a similar industry or sector is a plus.
