Summary of Function:
The Income Security Secretary/Receptionist provides high-impact administrative and frontline reception services that ensure efficient access to Income Security programs. The role supports program effectiveness by maintaining organized records, delivering accurate client information, coordinating office workflow, accurate documentation, timely support to staff, and a respectful, client-centered reception experience.
Job Duties:
- Greeting and assisting visitors: Welcoming guests, directing clients to the appropriate person or department, and providing information as needed.
- Managing communications: Answering, screening, and forwarding phone calls, responding to emails and handling inquiries.
- Administrative support: Manage appointment scheduling and client flow to minimize wait times. Managing calendars, retrieve, sort, record and distribute incoming mail, weighing and stamping all outgoing correspondence. Enter monthly declaration cards in excel. Preform all other related task required by the Social Assistance team.
- Office organization: Keeping the reception area tidy, managing office supplies, organizing and maintaining a filing system of clientele. Open new dossiers when needed and make necessary modifications.
- Security and access control: Monitoring visitor access and reporting unusual activities in some environments.
- Customer service: Providing assistance and ensuring a positive first impression for clients and visitors.

Requirements:
- Diploma in secretarial studies or related experience is required. One year of direct work experience in a receptionist capacity.
- Excellent communication skills, both in person and over the phone.
- Ability to handle emergencies or unexpected situations effectively.
- Proficient use of various office-based software, phone systems, and sometimes booking or scheduling platforms.
- Ability to write simple correspondence, including memos, letters, etc
- General mathematical skills.
- Ability to apply understanding to carry out instructions in writing, verbal, or diagram form.
- Ability to manage sensitive situations with tact, discretion, and empathy.
- Must be flexible to meet changing work needs and demands.
- Knowledge of supplies, equipment, and/or services ordering as well as inventory control of these items.
- Ability to multitask, prioritize duties, manage schedules efficiently and maintain filing systems and basic databases.
- Excellent analytical and problem-solving skills.
- Ability to pass a criminal background/Vulnerable Sector check.
