Summary of Function:
The Executive Assistant will play a crucial role in ensuring the smooth functioning of the Executive Office by efficiently managing administrative tasks, handling communications, and coordinating executive-level activities. The ideal candidate will possess exceptional communication and organizational skills, exhibit a high level of professionalism, and be capable of handling confidential information with utmost discretion.
Job Duties:
- Coordinate and schedule meetings, appointments, and travel arrangements for executives, ensuring optimal time management and logistical efficiency.
- Screen and prioritize phone calls, emails, and other forms of communication directed to the executive team. Handle routine matters independently and escalate critical issues when necessary.
- Draft and edit a variety of documents, including reports, memos, presentations, and correspondence on behalf of executives. Ensure accuracy and adherence to organization standards.
- Gather and analyze data to support decision-making and provide necessary information to executives in a concise and actionable format.
- Organize, prepare agendas, and coordinate logistics for internal and external meetings attended by the executive team. Record meeting minutes and follow up on action items.
- Assist in coordinating and managing special projects and initiatives led by the executive management team. Collaborate with cross-functional teams to ensure timely completion of projects.
- Maintain strict confidentiality of sensitive information and handle it with the highest level of discretion and integrity.
- Assist in preparing expense reports, tracking budgets, and processing invoices related to executive activities.
- Act as a liaison between executives and various internal departments, clients, and external partners, fostering positive relationships and effective communication.
- Research, prepare, and submit funding proposals and grant applications in support of organizational priorities.
Requirements:
- Bachelor’s degree or equivalent experience is preferred.
- Proven experience as an Executive Assistant or Senior Administrative Assistant supporting C-suite executives or high-level management.
- Exceptional organizational skills with the ability to multitask and prioritize competing demands effectively.
- Excellent communication and interpersonal skills, with a professional demeanor.
- Proficient in using office productivity software, such as Microsoft Office Suite or Google Workspace.
- Strong attention to detail and accuracy in document preparation.
- Ability to work independently and make decisions based on broad instructions and objectives.
- Demonstrated ability to handle confidential information with discretion and integrity.
- Previous experience in a similar industry or sector is a plus.
