Organizational Profile
The mission of the First Nations Human Resources Development Commission of Quebec (FNHRDCQ) is to provide employment assistance to all First Nations citizens in Quebec, as well as to all urban Aboriginal people, in order to contribute to their personal and professional development. On behalf of 30 First Nations, the FNHRDCQ is responsible for administering the Indigenous Skills and Employment Training (ISET) Program and the Urban ISET Program, which supports First Nations, Métis and Inuit people living in urban areas across Quebec. Through its 34 Employment and Training Service Centres (ETSCs), located in 30 First Nations communities and 4 urban centres (Montreal, Quebec City, Val-d’Or and SeptÎles), the FNHRDCQ helps clients enter the labour market by offering various employment and training measures.

 

Job summary
Under the supervision of the Employment & Training Service Centre Coordinator (ETSC of Montreal, Quebec City, Val-d’Or or Sept-Iles) of the Urban Strategy department of the FNHRDCQ, the Administrative Assistant is responsible for performing general administrative tasks related to the mandate and objectives set by the ETSC Coordinator. As such, the Administrative Assistant will, manage the office equipment and supplies, handle the mail, faxes, photocopying and preparation of various memos, letters, meeting reports, etc. The incumbent will also be responsible for performing file and document management tasks, in addition to ensuring client services and the reception of urban clientele. The incumbent may be asked to perform other related tasks to be carried out in accordance with the objectives of First Nations, Inuit and urban Aboriginal human resources development initiatives.

 

Tasks and responsibilities

1. PERFORM GENERAL ADMINISTRATIVE TASKS

  • Manage office equipment and supplies
  • Manage information: mail, photocopies, faxes, emails

2. PERFORM TASKS RELATED TO CLIENT FILE MANAGEMENT

  • Update the data/files
  • Generate reports
  • Prepare approval documents and payments

3. PERFORM TASKS RELATED TO CLIENT SERVICES

4. PERFORM OTHER RELATED TASKS

 

Requirements & Skills

  • Two (2) years experience in the secretarial field;
  • Vocational diploma in secretarial studies or accounting; or
  • College diploma in office automation; or
  • Secondary school diploma combined with secretarial experience;
  • Mastery of spoken and written French and English;
  • Knowledge of an Aboriginal language is an asset;
  • Knowledge of common software tools, including the Office 365 (Word, PowerPoint, Excel, Outlook), Internet and others;
  • Good knowledge of telephone answering techniques;
  • Ability to provide professional client services;
  • Ability to implement effective filing systems;
  • Ability to draft letters, memos, emails and other correspondence;
  • Excellent oral communication skills through use of appropriate language;
  • Good knowledge of basic mathematics;
  • Knowledge of the urban Aboriginal community and of Aboriginal educational and labour market-related institutions.

 

Conditions of Employment

Remuneration: According to the FNHRDCQ salary scale in effect starting from $37 851
